Step 2 of 7 on the VA career path

What is an SOP in virtual assistant work?

SOP stands for standard operating procedure: a written, step-by-step guide to doing one task the same way every time. In VA work, SOPs are how a client hands a task to you, and how you prove you can run it on your own.

Why SOPs matter so much for VAs

A client who hires a VA is trusting someone they've never met with part of their business. SOPs make that trust easier. They show exactly how a task should be done, so quality doesn't depend on memory, and they let someone else step in when you're sick or on leave.

Some clients arrive with SOPs ready. Many don't. A VA who writes them while learning the job saves the client hours of explaining and becomes very hard to replace. In interviews, "I document every recurring task in an SOP" is a strong thing to be able to say, and show.

What a good SOP includes

  1. Name and purpose

One line: what the task is and why it matters. "Weekly lead list cleanup: keeps the CRM accurate so sales calls the right people."

  2. When and how often

The trigger or schedule: "Every Monday by 10am client time" or "Whenever a new order comes in."

  3. Tools and access

Every app and login needed (never the password itself, just where to find access).

  4. The steps

Numbered, one action per step, with screenshots where a click isn't obvious.

  5. What "done" looks like

How to check the work, and what to report afterwards.

  6. When things go wrong

The common problems and what to do, or who to ask.

A simple SOP template

SOP: [Task name]
Purpose: [one line]
Owner: [role] · Frequency: [when] · Last updated: [date]

Tools: [apps, where to find access]

Steps:
1. [Action]
2. [Action, with screenshot]
3. [Action]

Done when: [check]
Report: [where and to whom]

If something goes wrong: [problem → fix or contact]

Mentor tip

Record a short screen video while you do the task, then write the SOP from the recording. It's faster, and you won't skip the steps that feel obvious to you but aren't to someone new.

Use your SOPs in applications

A one-page SOP for a task in your lane (posting to social media, cleaning a lead list, reconciling a bank account) is a great portfolio sample. It shows you understand the work and can explain it clearly. See how to build a VA portfolio, and the related EOD report.

Questions people ask

What is an SOP in virtual assistant work?

An SOP (standard operating procedure) is a written step-by-step guide to doing one task the same way every time. Clients use SOPs to hand work to a VA, and VAs write SOPs so the work keeps running when they're away.

Who writes the SOPs, the client or the VA?

Both. Some clients have SOPs ready. Many don't, and a VA who writes clear SOPs while learning the job becomes much harder to replace.

How long should an SOP be?

As short as it can be while someone new could still follow it alone. Most task SOPs fit on one or two pages, plus screenshots or a short screen recording.
