Step 2 of 7 on the VA career path
VA Glossary: The Words Clients Use, Explained
Clients and job posts are full of shorthand. Here are the 45 terms you'll meet most often as a virtual assistant, each explained in a sentence or two, with longer guides for the big ones.
- APIApplication Programming Interface
- A way for two apps to exchange data. In VA work you'll meet it as an "API key" you paste into an automation tool so it can connect to another app.
- AsyncAsynchronous communication
- Working without needing everyone online at once: updates by message, recorded videos and shared docs instead of live calls. Common when you and your client are in different time zones.
- B2B / B2C
- Business-to-business and business-to-consumer. Tells you who the client sells to, which changes how you write, call and post for them.
- BANTBudget, Authority, Need, Timeline
- A simple checklist sales teams use to qualify a lead. Appointment setters often ask questions that cover these four points before booking a call.
- Batching
- Grouping similar tasks (all emails, then all scheduling) to work faster and with fewer mistakes.
- Calendar management
- Booking, moving and protecting a client's meetings: checking time zones, avoiding double-bookings, adding meeting links and sending reminders.
- CMSContent Management System
- The software a website runs on, such as WordPress or Shopify. VAs use it to publish blog posts, update pages or add products.
- Cold calling
- Calling people who haven't asked to hear from the business, to start a sales conversation. See the appointment-setting guide. More →
- CRMCustomer Relationship Management
- The system where a business keeps its contacts, leads, deals and notes (for example GoHighLevel, HubSpot or Salesforce). Keeping the CRM clean and up to date is a core VA task in sales roles.
- CSATCustomer Satisfaction score
- A rating customers give after a support conversation. Support VAs are often measured on it.
- CTACall to action
- The line that tells the reader what to do next: "Book a call", "Reply YES", "Shop now". You'll write CTAs in emails, posts and landing pages.
- Data entry
- Typing or moving information into a system accurately: contacts into a CRM, receipts into a spreadsheet, products into a store. Often a first VA task, and a test of accuracy.
- DMDirect message
- A private message on a social platform. Social media VAs often manage a client's DMs and pass leads to sales.
- Drip campaign
- A series of emails or texts sent automatically on a schedule after someone signs up or takes an action.
- EAExecutive assistant
- An assistant who supports one busy person closely: inbox, calendar, travel, meeting prep and follow-ups. A step up from general admin work.
- EOD reportEnd-of-day report
- A short message at the end of each workday listing what you finished, what's in progress, and anything you need from the client. Full guide: EOD report →
- ETAEstimated time of arrival
- When something will be done. "ETA end of day" is a promise: keep it, or update it early.
- Funnel
- The path a stranger takes to become a customer, usually an ad or post, a landing page, a form, then a call or a purchase. VAs build and maintain funnels in tools like GoHighLevel.
- GHLGoHighLevel
- An all-in-one CRM and marketing platform used by many agencies and small businesses. A "GHL VA" builds and runs funnels, pipelines and automations in it. Full guide: GHL →
- ICPIdeal customer profile
- A description of the client's best type of customer. Lead generation and outreach VAs use it to decide who to contact.
- Inbox zero
- Keeping an inbox processed to empty: every email answered, filed, delegated or deleted. A common goal for admin and EA roles.
- ISAInside sales agent
- In real estate, the person who calls and follows up with leads and books appointments for the agents. Many real estate VAs work as ISAs.
- KPIKey performance indicator
- A number your work is measured by: calls made, meetings booked, tickets solved, posts published. Ask which KPIs matter in your first week.
- Lead
- A person or business who might become a customer. "Warm" leads have shown interest; "cold" leads haven't.
- Lead magnet
- A free resource (a checklist, guide or template) offered in exchange for an email address. VAs often design and format them.
- Loom video
- A short screen recording with your voice, used to explain a task or show finished work. Many clients prefer them to long emails.
- MLSMultiple Listing Service
- The database of homes for sale used by real estate agents in a region. Real estate VAs may upload or update listings in it.
- NDANon-disclosure agreement
- An agreement to keep a client's information private. Some clients ask VAs to sign one before starting.
- OBMOnline business manager
- A senior remote role that runs a business's operations and team, often a step up for experienced VAs.
- Onboarding
- Your first days with a new client: getting access to tools, learning the processes and the client's preferences.
- Pipeline
- The stages a deal moves through, from new lead to won or lost. In a CRM you'll move contacts between pipeline stages and keep notes.
- Retainer
- An arrangement where a client books a set number of hours or a set scope every month.
- ROIReturn on investment
- What a client gets back compared with what they spend. Showing how your work saves time or brings in leads is talking about ROI.
- SEOSearch engine optimization
- Making web pages easier to find in search engines. Content and marketing VAs often help with keywords, page updates and blog posts.
- SLAService-level agreement
- An agreed response time, such as "reply to every support email within 4 hours". Support roles often have one.
- Snapshot
- In GoHighLevel, a saved template of a whole account (funnels, workflows, pipelines) that can be loaded into a new client's account.
- SOPStandard operating procedure
- A written, step-by-step guide to doing a task the same way every time. Clients use SOPs to hand work to a VA, and good VAs write them. Full guide: SOP →
- TCTransaction coordinator
- In real estate, the person who manages the paperwork and deadlines between an accepted offer and closing. A common specialist VA role.
- Time blocking
- Planning your day in blocks of time for specific tasks, so recurring work and deep work both get done.
- Time zone overlap
- The hours when you and your client are both working. Many VAs in Asia work US hours, which means a night shift.
- Trial task
- A short, realistic task given during hiring to see how you work. A real employer explains it clearly, keeps it small, and never charges you for it.
- Turnaround timeTAT
- How long it takes to finish a task after receiving it. Clients notice consistent turnaround more than speed alone.
- UGCUser-generated content
- Posts, reviews and videos made by customers rather than the brand. Social media VAs often collect and repost it.
- Workflow
- A set of automated steps triggered by an event, such as "new form → tag contact → send email → create task". Built in tools like GoHighLevel, Zapier or Make. More →
- Zap
- One automation in Zapier: a trigger plus one or more actions.
Mentor tip
Hear a term you don't know in an interview? Ask. "When you say EOD, do you want a written summary or a quick call?" sounds professional, not clueless.
