Step 1 of 7 on the VA career path

Automation VA: Zapier, Make and n8n Skills and Jobs

Automation VAs connect a business's apps so leads, invoices and reminders move by themselves. It's one of the fastest-growing VA skills, and you can learn it on free plans.

What the work is

Most small businesses run on a dozen apps that don't talk to each other. An automation VA connects them with tools like Zapier, Make or n8n: when something happens in one app (a form is filled in, a payment comes in), something else happens in another (a contact is created, a message is sent, a row is added to a sheet).

Clients hire for this because it saves hours every week and cuts mistakes. The work is part logic, part patience: mapping the steps, testing with real data, and writing down how it works so someone else can fix it later.

Typical tasks

Tools you'll use:

How to learn it

  1. Open free accounts in Zapier and Make and build the same simple automation in both.

  2. Learn the core ideas: trigger, action, filter, router/path, and how data maps from one step to the next.

  3. Practice with webhooks: send test data from a form to a sheet.

  4. Read each tool's own templates library and rebuild three templates from scratch.

How to show you can do it

Clients hire proof, not promises. Two or three of these in your applications will set you apart:

Mentor tip

Put your best sample first and keep it short. A client deciding between twenty applicants will look at one thing for thirty seconds. Make it count.

Questions people ask

What does an automation VA do?

They connect a business's apps so routine work runs by itself: new leads go into the CRM, follow-ups send on time, reports fill in automatically. They also document and fix those automations.

Zapier, Make or n8n: which should I learn first?

Zapier is the easiest start and very common in small businesses. Make handles more complex flows at a lower cost, and n8n is popular with technical teams. Learn one well, then the others go quickly because the ideas are the same.

Do I need to code?

No for most VA automation work. Knowing what a webhook, an API key and JSON look like helps a lot, and you can learn those basics from the tools' help pages.
